After-Sales & Warranty Policy

At Vantex Mobile Phone Spare Parts (“Vantex,” “we,” “us,” or “our”), we supply mobile phone spare parts to professional B2B customers worldwide. This After-Sales & Warranty Policy (“Policy”) sets out the procedures and conditions applicable to product quality claims, shortages, incorrect items, transit damage, warranty assessment, and after-sales service.

By purchasing products from Vantex, the customer acknowledges and agrees to this Policy, unless different or additional terms are expressly agreed in a transaction-specific written commercial agreement, Proforma Invoice (“PI”), purchase order accepted by Vantex, or other written document issued or accepted by Vantex.

Scope and Order of Precedence

This Policy applies to B2B commercial transactions between Vantex and professional buyers, including wholesalers, distributors, retailers, repair businesses, and other commercial customers.

Unless otherwise expressly agreed in writing, this Policy applies to products supplied by Vantex.

In the event of any inconsistency between this Policy and a transaction-specific written commercial document, the transaction-specific document shall prevail with respect to that transaction.

Nothing in this Policy is intended to exclude or restrict any rights or remedies that cannot lawfully be excluded or restricted under applicable mandatory law.

Limited Warranty Period

Unless a different warranty period is expressly stated in the applicable PI or other written commercial agreement, Vantex provides a limited warranty period of 30 calendar days from the date of delivery or receipt of the relevant goods.

The delivery date may be determined by reasonable delivery evidence, including carrier records, delivery confirmation, or other commercially reasonable documentation.

Customers must submit eligible quality claims within the applicable warranty period. Claims submitted after the warranty period has expired may be rejected, except where a longer period is required by applicable mandatory law or expressly agreed in writing by Vantex.

Warranty Coverage

The limited warranty applies only to manufacturing defects that are reasonably determined by Vantex to be directly attributable to the supplied product at the time of delivery.

Warranty assessment is subject to the conditions and procedures set out in this Policy.

For the best chance of identifying a manufacturing defect, products should be inspected and function-tested before installation, gluing, soldering, assembly, modification, or other processing.

Where a product has been installed, modified, soldered, stripped of protective materials, disassembled, repaired, or incorporated into another device, Vantex may be unable to determine whether the reported issue existed before such processing. In such circumstances, the claim may be rejected where the condition of the product prevents reliable warranty assessment, except where applicable mandatory law provides otherwise.

Products submitted for warranty assessment must retain their original Vantex identification marks, serial numbers, security labels, stamps, or other identifying features, where applicable. Removal, alteration, or destruction of such identification may result in rejection of the claim where it prevents product verification.

Non-Warranty Conditions and Exclusions

The limited warranty does not cover problems or damage caused by circumstances outside Vantex’s reasonable manufacturing control, including but not limited to:

  • Improper installation, incorrect repair procedures, or improper handling;
  • Damage caused by unqualified or improper installation or testing;
  • Physical damage, including cracks, breaks, bending, crushing, deformation, or scratches occurring after delivery;
  • Liquid, moisture, corrosion, or chemical damage;
  • Electrical damage, overheating, burning, short circuits, or other damage caused by unstable voltage, external equipment, power supplies, testing equipment, or improper testing procedures;
  • Unauthorized disassembly, modification, soldering, repair, or alteration;
  • Normal wear and tear, misuse, negligence, abuse, or accidental damage;
  • Compatibility issues resulting from incorrect device models, regional software versions, hardware revisions, firmware, operating systems, or other specifications that were not expressly confirmed by Vantex in writing;
  • Damage resulting from improper storage, handling, packaging, or transportation after receipt by the customer;
  • Damage resulting from installation into a device that has itself been damaged, modified, repaired, or otherwise altered;
  • Failure to follow applicable product instructions or reasonable handling requirements; or
  • Any condition that prevents Vantex from reasonably verifying the reported defect.

Unless expressly confirmed by Vantex in writing, product specifications, compatibility, performance, and suitability should be independently verified by the customer before installation or commercial deployment.

Pre-Installation Testing Requirement

Because mobile phone spare parts may be affected by installation methods, tools, devices, voltage, software, environmental conditions, and technician handling, customers are strongly required to conduct appropriate functional testing before installation or further processing.

For products intended for installation into mobile devices, customers should verify relevant functions before applying adhesive, removing protective films, soldering, modifying, or permanently installing the product.

Any testing method used by the customer should be technically appropriate for the particular product.

A failure discovered only after installation does not, by itself, establish that the product contained a manufacturing defect before installation.

Claim Types and Reporting Deadlines

Different types of claims are subject to different reporting requirements.

Shortage or Incorrect Item

Any shortage, missing item, quantity discrepancy, or incorrect product must be reported within 3 business days after receipt of the shipment.

The customer should provide:

  • Order number or PI number;
  • Product name or SKU;
  • Quantity received;
  • Quantity claimed as missing or incorrect;
  • Clear photographs of the received goods and packaging; and
  • A clear unboxing video where reasonably available.

Transit Damage

Visible transit damage should be reported within 3 business days after receipt and should include photographs or videos showing the external packaging, shipping labels, damaged packaging, and affected products.

Where appropriate, the customer should also notify the relevant carrier or logistics provider in accordance with the carrier’s applicable procedures.

Product Quality Claims

Quality claims must be submitted within the applicable warranty period and should include sufficient objective evidence for technical assessment, including where applicable:

  • Order or PI information;
  • Product name, SKU, or identifying information;
  • Quantity affected;
  • Clear photographs and/or videos showing the reported issue;
  • Test results and testing conditions;
  • Device model and relevant hardware information;
  • Description of the installation or testing procedure; and
  • Any other information reasonably requested by Vantex.

Claim Review and Return Authorization

Submission of a claim does not constitute acceptance or confirmation of a warranty defect.

Vantex may review the submitted evidence and may request additional photographs, videos, testing information, or other documentation before determining eligibility.

Where physical inspection is reasonably required, Vantex may request that the affected product be returned for inspection.

Customers should not return products without prior authorization from Vantex. Where a return is required, Vantex may provide return instructions or a return authorization reference.

Products returned without sufficient identification or without the requested supporting information may cause delays in assessment or may be rejected.

Vantex reserves the right to determine whether a reported issue falls within the scope of this Policy based on the available evidence, product inspection, testing results, and applicable transaction documents, subject to applicable mandatory law.

Exclusive Commercial Remedy

To the maximum extent permitted by applicable law, the commercial remedy available under this Policy for a confirmed covered manufacturing defect is replacement of the defective product.

No Cash Refunds

Except where a refund or other monetary remedy is required by applicable mandatory law or expressly agreed in writing for a particular transaction, Vantex does not provide cash refunds, monetary repayments, or cash-outs for products covered by this Policy.

Replacement

Where Vantex confirms that a product contains a covered manufacturing defect, Vantex will normally provide a replacement unit of the same type or an equivalent replacement, subject to product availability.

Where the same product is unavailable, Vantex may discuss an alternative commercially reasonable resolution with the customer.

A replacement will only be provided for the quantity of products that Vantex confirms as defective.

Products that do not contain a confirmed covered manufacturing defect, or that are excluded under this Policy, are not eligible for replacement under the warranty.

Shipping, Freight, Duties, and Taxes

Unless otherwise expressly agreed in writing for a specific transaction:

  • The customer is responsible for the cost of returning products to Vantex for inspection;
  • The customer is responsible for applicable customs duties, taxes, clearance charges, and other charges associated with the return shipment;
  • The customer is responsible for appropriate packaging of returned products; and
  • The customer bears the transit risk for products returned to Vantex until the products are received by Vantex.

Where Vantex confirms a covered warranty defect, replacement products will generally be shipped together with the customer’s next commercial order, unless otherwise agreed in writing.

Vantex does not ordinarily bear the cost of separate, standalone, expedited international freight for warranty replacement units.

Any different freight arrangement must be expressly agreed in writing for the relevant transaction.

Inspection and Final Claim Determination

Vantex may inspect and test returned products before confirming a warranty claim.

Where the evidence establishes that the issue is not a covered manufacturing defect, Vantex may reject the claim.

If the returned product is found to have been damaged through installation, testing, modification, improper handling, or another excluded circumstance, the product will not qualify for replacement under this Policy.

Where the available evidence is insufficient to establish the cause of the reported issue, Vantex may request additional information or testing before making a final commercial determination.

Limitation of Liability

To the maximum extent permitted by applicable law, Vantex’s liability arising from or relating to a supplied product shall be limited to the remedies expressly provided under the applicable transaction documents and this Policy.

For a confirmed covered manufacturing defect, Vantex’s maximum liability for the affected product shall not exceed the direct purchase price actually paid to Vantex for the specific defective product quantity.

To the maximum extent permitted by applicable law, Vantex shall not be liable for indirect, incidental, special, exemplary, punitive, or consequential losses, including but not limited to:

  • Mobile phone repair labor costs or technician service fees;
  • Installation or removal costs;
  • Damage to motherboards, screens, cameras, batteries, or other components of an end-user device;
  • Loss of profit or revenue;
  • Business interruption;
  • Loss of goodwill or commercial opportunities;
  • Data loss; or
  • Claims made against the customer by downstream buyers, end users, or other third parties.

Nothing in this section limits liability that cannot lawfully be limited or excluded under applicable mandatory law.

Customer Responsibility

The customer is responsible for:

  • Confirming product model, specification, quantity, and compatibility before installation;
  • Proper storage and handling after delivery;
  • Using appropriate testing equipment and procedures;
  • Ensuring that installation and repair work is performed by appropriately qualified personnel;
  • Maintaining reasonable records of product testing and installation where appropriate; and
  • Providing accurate and complete information when submitting a claim.

The customer should not rely solely on product descriptions, photographs, or general compatibility information when the customer’s particular device, hardware revision, software environment, or application requires specific technical confirmation.

No Unauthorized Deductions or Set-Off

Unless expressly agreed in writing by Vantex or required by applicable mandatory law, customers may not unilaterally deduct claimed warranty amounts, repair costs, freight costs, penalties, or other amounts from outstanding invoices or future payments.

A pending claim does not automatically suspend the customer’s payment obligations for unrelated orders or undisputed amounts.

Policy Updates

Vantex may update or modify this Policy from time to time.

The version published on the Site with the applicable Last Updated date will govern claims arising from transactions to which that version applies, subject to any transaction-specific written agreement and applicable mandatory law.

Updates to this Policy will not automatically modify the express terms of a previously agreed transaction-specific commercial document.
